1. Who we are
Domani BV (“Domani”, “we”, “us”) is a company incorporated in Belgium, with its registered office at Sint‑Pietersnieuwstraat 14, 9000 Gent, registered under enterprise number BE 0789.221.448. Domani is the data controller for the personal data described in this policy.

2. Scope
This policy explains how we process personal data when you request access to the Domani private beta, visit our website, or use the Domani application as a landlord, managing agent, or invited user. It is written to comply with the EU General Data Protection Regulation (GDPR) and Belgian data protection law.
3. What data we collect
- Beta request data — name, email address, portfolio size and region you submit through the beta access form.
- Account data — identity, contact details and credentials of users you create or that are invited to the application.
- Tenancy data you enter — information about buildings, units, leases, tenants, guarantors, charges, meter readings and related documents. This may include personal data of third parties (e.g. your tenants) for which you are the controller and Domani acts as processor.
- Financial data — bank transactions and allocations imported or connected for rent reconciliation.
- Technical data — log data, device and browser information, and strictly necessary cookies needed to keep you signed in and to keep the service secure.
4. Why we use it and legal bases
- To evaluate and respond to beta access requests — legitimate interest in growing the service and steps prior to entering a contract.
- To provide, secure and support the application — performance of a contract with you (or the entity you represent).
- To process tenancy and financial data on your behalf — on your documented instructions as a processor; you remain the controller toward your tenants.
- To comply with our legal and accounting obligations — legal obligation.
- To improve reliability and prevent abuse — legitimate interest, balanced against your rights.
5. Sharing and processors
We do not sell personal data. We share data only with service providers acting on our instructions (hosting, infrastructure, email/messaging delivery, bank-data aggregation, and document processing). These providers are bound by data processing agreements and process data only as needed to deliver the service.
6. International transfers
We aim to keep data within the European Economic Area. Where a provider processes data outside the EEA, we rely on an adequacy decision or appropriate safeguards such as the European Commission's Standard Contractual Clauses.
7. Retention
Beta request data is kept for up to 24 months from your last contact with us, unless you ask us to delete it sooner. Account and tenancy data is kept for the duration of your use of the service and, after termination, held read‑only for 30 days and then deleted on request, except where longer retention is required by law (e.g. accounting records).
8. Your rights
Under the GDPR you have the right to access, rectify, erase, restrict or object to the processing of your personal data, the right to data portability, and the right to withdraw consent at any time without affecting prior processing.

If you are a tenant or third party whose data was entered by a landlord or agent using Domani, that landlord or agent is the controller; please address your request to them. We will assist them in responding.
10. Security
We apply technical and organisational measures appropriate to the risk, including encryption in transit, access controls and regular backups. No system is perfectly secure; if a breach affects your data, we will notify you and the supervisory authority as required by law.
11. Changes
As Domani is in private beta, this policy may change as the product evolves. We will update the date above and, for material changes, notify beta users by email. The terms governing your use of the service are set out in our End‑User Licence Agreement.
